SECRETARY’S REPORT – May 2017

The board met on May 1st, 2017 at 6:30 PM at the home of Willy and Eva Hostettler.

Members present:  Naomi, Gil, Willy, Eva, Carol, Jacquie, Helen, Howie, Janet, Doris, Linda

Guests:  Dominique, Jay, Ron, Joyce

ADMINISTRATION

Our President, Eva Hostettler, called the Administration meeting to order at 6:40 PM.  The Secretary’s Report was distributed to board members.  Upon review, Howie made the motion to accept the minutes with Janet second, and the board approved.  Willy gave the Treasurer’s Report stating a balance of $5,436.08 in the Administration account.  Naomi made the motion to accept the Treasurer’s report with Janet second, and the board approved.  There was no further Administration business and Eva adjourned the Administration meeting at 6:47 PM.

FOUNDATION

Eva called the Foundation meeting to order at 6:47 PM.  The Secretary’s Report was distributed to board members.  Upon review, Gil made the motion to accept the report with Janet second, and the board approved.  Willy gave the Treasurer’s Report stating a balance of $30,523.60 in the Foundation account.  Linda made the motion to accept the report with Naomi second and the board approved.

COMMITTEE REPORTS:

  • Interclub committee chair, Howie Baron, reported that there will be and interclub with the Entertainment Club on May 9th at Bistro Garden in Studio City.

  • Kiwanis Celebrates Youth – June 3rd, 2017

  • Income as of April 30, 2017 - $973.00

  • Expenses as of April 30, 2017 – $326.18 (Approximate additional costs - $1,500 – Bouncy Houses, Climbing Wall, Petting Zoo, Food, Drinks, Entertainment)

  • Health Exemption filed (no special requirements, no cost)

  • Proof of insurance needs to be delivered to church

  • Do we want to purchase pop-ups?

 Linda made the motion that we purchase two pop-ups (approximate cost of $100.00   each) with Helen second, and the board approved.

  • KECSA

  • Willy reported that a grant from LATLC confirmation is promised for first week of May.

  • The board had voted earlier to pay for Kurt and Linda to attend LATLC Casino Night.  They are unable to go.  Joyce and Janet will be going.

  • Letters, tickets, and solicitation envelopes are ready and we should start selling tickets and soliciting for raffle prizes and silent auction items in June or July.

NEW BUSINESS:

  • Background Checks

  • In April the board approved that all club members are required to have a background   check.  Some members of the club were opposed so any members opposing were asked to attend this board meeting to make their grievances known.  Ron presented to the board the requirements of background checks by Kiwanis International requiring only advisors of sponsored leadership programs (K-Kids, Builder’s Club, Key Club, Circle K, and Aktion Clubs) to have a background check.  Doris also presented the following email from Kiwanis International:

  • Please forgive my delay.  Please see the attached Youth Protection guidelines.  This information should contain all the information we discussed yesterday.

  • Criminal History Background Checks: Kiwanis clubs are required to have a clear criminal history background check—conducted and verified by Kiwanis International—of any member serving as a Kiwanis advisor to any Service Leadership Program club (Aktion Club, Circle K, Key Club, Builders Club and K-Kids). Kiwanis International’s criteria shall be followed to determine whether the background check is considered ‘clear.’ Background checks shall be valid for no more than two years. SLP clubs that petition to charter will only be approved once the appointed Kiwanis advisor has a clear criminal history background check conducted by Kiwanis International. Clubs are strongly encouraged to ensure confidential background checks for all adults who will work directly with youth outside of the school and/or who may not have undergone a background check. The criminal history background check should conform to applicable local and state/provincial laws and requirements.

  •  Upon discussion, Jacquie made a motion that we rescind the background check requirement, but there was no second.  The requirement for background checks is upheld.

 

  • Key Club Grants

  • It was a concern of the board that giving Key Club grants without any specifications for its use and agreement from students.  Dominque and Doris have agreed that any future grant payments will require students to write an essay specifying how the money will be used.

There was no further Foundation business and Eva adjourned the Foundation meeting at 8:15 PM.
